We’re looking for a Client Services team member to handle administrative duties for our team and ensure all clients receive a positive client experience.

As a Client Service professional, you’re responsible for providing fundamental client servicing and operational skills support, and work collaboratively with all members of the organization to deliver an exceptional client experience.  You will also provide support in personal tax preparation and client correspondence.


Client Services Duties:

Support all Tax Department staff and ensure clients receive a positive client experience including:

    1. Scanning of client workpapers to project files.
    2. Downloading ShareFile documents and reviewing information received to ensure we have applicable documents for each project.
    3. Assembling tax returns, IRS Notices, and other non-tax work year-round.
    4. Notifying clients and distributing information electronically or in hard copy, per their preference.
    5. Assisting with ShareFile and Right Signature documents per ITS procedures.
    6. Providing support with data entry including adding new clients and altering client information in our CRM program.
    7. Welcoming all clients and visitors with attentive service. While representing the ITS brand, assist clients via phone or in person to get their questions answered or routed to the most appropriate team member.
    8. Interacting with various non-client visitors to the office or phone calls; discerning their needs to either assist or route to the most appropriate team member.
    9. Corresponding with clients related to general questions, return status and client payments
    10. Preparing certified and overnight outgoing mail. Help maintain postage supply.
    11. Creating client appointments and meetings as necessary following the ITS guidelines.\

Work to create, assemble, and distribute our annual Tax Packets in preparation for tax season.

 

Tax Preparation Duties:

Learn the process and procedures of the Personal Tax Department leading up to tax season.

    1. Perform basic data entry for tax returns, utilizing internal systems and processes to track projects, make appropriate notes, and ensure preparation of returns are completed in a timely matter.
    2. Work with client managers to correspond with clients regarding information needed and communicating the status of their tax return.

  • Cheerful and upbeat attitude.
  • Minimum two years related experience and/or training in a business environment; or equivalent combination of education and experience.
  • Keen attention to detail
  • Strong communication skills with emphasis on both oral and written communication when dealing with clients and other team members.
  • Computer proficient in Microsoft Word and Excel. Experience with Thomson Reuters tax software is preferred.
  • Understanding of financial and tax terminology preferred.
  • Understanding of regulatory and privacy requirements for tax and accounting firms preferred.
